2. Objectives
- Reduce overall energy consumption in the office.
- Minimise paper use and promote digital alternatives.
- Reduce printing waste and encourage sustainable printing practices.
- Foster a culture of environmental responsibility among employees.
3. Reducing Energy Consumption
- Encourage staff to power down computers, monitors, and other electronic devices when not in use.
- Set computers and other office equipment to energy-saving modes during periods of inactivity.
- Utilise natural light where possible and switch off lights in unused areas.
- Use energy-efficient LED lighting and appliances.
- Conduct regular energy audits to identify and address inefficiencies.
- Control heating in winter using thermostatic controls to minimise need for fossil fuel powered heating
- Control office cooling in summer using natural ventilation instead of air conditioning
- Where possible, we will conduct meetings online to reduce the need to drive. If an in-person meeting is needed, we will use public transport options where available.
4. Minimising Paper Use
- Promote digital documentation and file-sharing platforms to reduce reliance on printed materials.
- Encourage employees to review documents digitally rather than printing them.
- Use electronic signatures and approvals to replace printed contracts and forms.

- Print only when essential and in black-and-white where possible to reduce ink usage.
- Use recycled or sustainably sourced paper for printing needs.
- Maintain digital archives instead of storing physical copies of documents.
- Recycle used paper, ink cartridges, and other printing materials responsibly.
6. Reducing Electronic Waste
- Where possible, we will replace obsolete office electronic equipment with repairable alternatives to reduce the need to scrap and replace
- We will ensure all electronic equipment is maintained and cared for
- All equipment (laptops) etc. that need to be transported will be carried in protective cases to minimise the risk of damage
- We will prefer rechargeable devices over those which require batteries
- Where they are needed, we will use rechargeable batteries
7. Employee Engagement & Training
- Provide training and resources to employees on sustainable office practices.
- Encourage staff to suggest and implement new waste reduction initiatives.
- Recognise and reward employees who actively contribute to reducing waste.
8. Monitoring & Continuous Improvement
- Regularly assess waste reduction efforts and set measurable targets for improvement.
- Gather employee feedback to refine and enhance sustainability initiatives.
- Stay informed about new technologies and practices that can further reduce waste and energy consumption.
By implementing this Waste Reduction Policy, Vitamin aims to create a more sustainable workplace, reduce our environmental footprint, and set an example within our industry.
